Travel Subsidy Policy

A limited number of competitive travel subsidies are available to eligible applicants wishing to participate in the PAIT workshop in Cincinnati. Applications must be received on or before September 28, 2009. Awards will be announced no later than the week of November 2, 2009.

Eligibility. If you are a member of one or more underrepresented groups in science and engineering (see the Travel Subsidy Application Form) who can demonstrate active scholarship in at least one of the relevant areas (e.g., pervasive information technology, autonomous information technology, practical ethics, research ethics), you are invited to apply for a travel subsidy. You must complete and submit the registration form for the workshop and the application form and other required information for the travel subsidy together by the application due date. Subsidies will be judged by the PAIT Planning Committee based on the applicants’ qualifications and potential to contribute to the workshop. Note that your expenses will be reimbursed after you have submitted your original receipts, which must be received by April 2, 2010.

Maximum reimbursement1 for travel, lodging, and food combined is limited as follows:

  • If you live within 250 miles of Cincinnati, your maximum reimbursement will be $200.
  • If you live 250-500 miles from Cincinnati, your maximum reimbursement will be $350.
  • If you live over 500 miles from Cincinnati, your maximum reimbursement will be $500

Travel expenses will be reimbursed for the amount of the coach class airplane, train, or bus ticket, up to the specified limit. Additional ground transportation (e.g., airport shuttles, taxis) can be refunded within the given limit.

For participants who rent a car or drive a personal vehicle, reimbursement will be according to IU guidelines:

  • 55 cents per mile for the first 500 miles
  • 27.5 cents per mile for 501-3000 miles
  • Nothing for miles in excess of 3000

Food and lodging. Per Federal guidelines:

  • Two nights in Cincinnati, with a maximum of $112 per night
  • Maximum of $54 per day for two days for food
